Location: Santa Monica , with some travel  Downtown Los Angeles
 
Job Summary:
The Administrator is the primary Raiser’s Edge (RE) manager for all data entry, reporting, daily gift entry, acknowledgements, mailing lists and reconciliation.  Additionally this position serves as the primary conduit to the accounting department for monthly reconciliations and serves as the department budget manager.   Candidate will also assume sole responsibility for setting and enforcing RE policies, conducting staff training and creating proactive and thoughtful strategies to support the fundraising functions across the department, and the organization.  Additionally, the Administrator will work closely with the department VP and CEO to ensure that all administrative functions for  the department and executive office, including meeting scheduling and correspondence with the Board of Directors, are handled in the most efficient and timely manner
 
 
Duties and Responsibilities to include but not limited to:
  • Manage the donor database (Raiser’s Edge, RE) by keeping data clean and updated by following set data entry protocols, expanding notes, removing duplicate records, tracking individual relationships, running queries and exports, and analyze giving trends and outcomes for departmental use
  • Set and manage RE protocols and conduct all staff training
  • Process donations: entering daily gifts into database, transmit payments and payment information to accounting, and run acknowledgment letters
  • Weekly, monthly, and year-end gift reconciliation with Finance
  • Track and invoice pledges and other special gifts
  • Donor stewardship
  • Field  informational inquiries and calls
  • Prepare and manager all mailing lists from Raiser’s Edge
  • Providing support for fundraising events
  • Provide daily support to the CEO and the VP of Development and Communications; including managing calendars, drafting letters, tracking expenses and creating miscellaneous reports as needed
  • Assist CEO with all Board communication and Board Meeting planning and execution; including taking and transcribing meeting minutes, compiling and distributing  Board packet information, and sending out meeting information to each Board Member and their assistants
  • Handle supply requests for the Santa Monica office and act as departmental  liaison as facility issues arise
  • Other duties as assigned

  • Job Skills & Qualifications: 
     
  • Bachelor’s degree or equivalent experience
  • Two years of Raiser’s Edge experience
  • Computer proficient.  Advanced knowledge of Microsoft Word, Excel, Powerpoint & Outlook.
  • Excellent interpersonal and communication skills
  • Superior fundraising writing skills
  • Calmness and efficiency necessary to perform activities involving multiple and sometimes competing demands
  • Ability to work well independently, as well as with a diverse team
  • Strong organizational skills with significant attention to detail
  • Exceptional verbal and written communication skills
  • Ability to maintain donor confidentiality, use of good judgment, diplomacy, and tact
  • Ability and willingness to work occasional evenings and weekends
  • Commitment to the organizational mission and sensitivity to the needs of poor and disenfranchised populations
